How to switch to Bookedin
There are two ways to switch to Bookedin. This article covers both so you can choose the approach that works best for you.
Option A: Import your data and make a clean break
This is the easiest way to switch. Move your clients, bookings, services, and staff into Bookedin all at once, cancel your old software, and you're done — no need to run two systems.

Option B: Run both systems side by side
Prefer a gradual transition? You can keep using your old software until a set date, then cut it off — without importing anything. This takes a bit more hands-on work, but lets you ease into Bookedin at your own pace. Here's how.
Before you start
Pick your switch date — the first day you want Bookedin to start accepting new bookings. Every step below refers back to this date.
Ex: You're booking in May on your old system and want a clean switch to Bookedin on June 1. Your switch date is June 1.
Step 1: Block off availability in Bookedin
Block off every day from today until your switch date so clients using your new Bookedin booking link can only book from that date forward. You do this by marking each day as unavailable using the Change Hours feature.
- Sign in to your Bookedin business account (web, iPhone, or Android).
- Go to your calendar and navigate to today's date.
- Click or tap Change Hours.
- Select Change hours by day.
- Turn off Available on this day (if using mobile) or click Block (if using web). For step-by-step instructions, see One-day-only availability changes.
- Repeat and block every day from now until your switch date.
Tip: If you're currently using a personal calendar to manage your bookings (e.g. Google Calendar, iCal, etc.) you can simply use Bookedin's Calendar sync feature to block your availability. This is a fast way to make sure your availability is accurate and always up to date.
Step 2: Block off availability in your old software
Block off every day after your switch date. That way your clients won't keep booking on your old system.
- Log in to your existing booking software.
- Block or make unavailable all days from your switch date onward.
- If possible, add a note or announcement on your booking page that tells clients about your new Bookedin online booking page, letting them know to book from your switch date onward.
Step 3: Run both systems simultaneously
In the time between now and your switch date, you'll need to temporarily use both your old system and your new Bookedin account.
Old system:
- Manages all of your existing bookings, reminders, etc.
- No new bookings accepted into this system after the day before your switch date.
On your new Bookedin account:
- Any new bookings you receive get entered here.
- Online booking available on your switch date.
- You can begin promoting your new online booking link.
Step 4: Switch date & deactivate
When your switch date arrives, and you've stopped taking bookings in your old software:
- Log in to your old system.
- Scan through your calendar to double check that no bookings are scheduled far into the future. If so, manually re-enter them into Bookedin.
- If you haven't done so already, remove your old booking link from your website, social media, email signature, etc. and replace it with your new Bookedin booking link.
- Export your data from the old system. Get step-by-step export instructions for various providers here.
- Cancel any paid subscription to the old software.
You're done. Bookedin is now your single source of truth.
