Switch to Bookedin from Vagaro
Vagaro has solid export tools — which means getting your data into Bookedin is easier than you might expect. Here's how.
What you'll need
- An active Bookedin account. Don't have one yet? Start your free trial.
- Access to your Vagaro account (owner or admin level — only account owners can export the client list).
- Your export files saved in Excel format.
Follow these steps
Step 1: Export your client list from Vagaro
- In your Vagaro account, click the Customer tab then click Customer List.
- Click Run Report to pull all clients. Use Advanced Filters if you want to narrow the data.
- Click Export > Excel to download the file.
Step 2: Export your booking history from Vagaro
Vagaro doesn't offer a self-serve export for booking history. Contact Vagaro customer support and ask them to provide a CSV of all upcoming bookings.
Step 3: Export your services from Vagaro
- In your Vagaro account, go to Settings > Employees > Employee Profiles.
- Click on the name of the employee whose services you want to export.
- Click Services.
- Click the download icon at the top of the screen to export.
- If you have multiple staff members, repeat for each one. Rename each file before exporting again so they don't overwrite each other.
Step 4: Export your staff members from Vagaro
Vagaro doesn't have a bulk export for staff members. Instead, include the following information for each team member directly in the email you send to Bookedin (see Step 5):
- Full name
- Email address
Step 5: Send your files to Bookedin
Email your exported files to support@bookedin.com from the email address associated with your Bookedin account. Include any staff member details in the body of the email.
Our team will take it from there and follow up within approximately 1–2 business days if they have any questions.
Tip: While you wait, set your calendars to private so no new online bookings come in during the transition. Also disable reminders and follow-up emails to avoid clients receiving duplicates. See Import your data from another provider for step-by-step instructions.
You're all set. Once you hear back from our team confirming the import is complete, you can go live and start taking bookings.
