How do I send an email blast to my clients?

Short answer: Bookedin doesn't currently have a built-in “one-click” email blast tool. However, you can easily send a mass email by importing your Bookedin client list into any email provider.

Before you start:

  • This is a manual export/import process (not a direct integration).
  • Always respect unsubscribe choices: do not email anyone who has already unsubscribed.
  • Follow local email laws (CAN-SPAM, CASL, GDPR, etc.), always include an unsubscribe link in your email and only send to people who’ve consented.
  • Recommended providers: Mailchimp, MailerLite, Brevo. They're all simple, offer free plans, and work well for small businesses. But any provider that accepts CSV imports will work.

Step-by-step: Send an email blast to your Bookedin client list

Export from Bookedin

  1. Log in to your Bookedin business account here: https://scheduler.bookedin.com 
  2. Follow these steps to Export your client list. This will give you a CSV file download. The CSV contains the Name, Email, Phone Numbers, and Client Notes for all clients in your Bookedin account. 
  3. Clean your list (highly recommended): 
    • Open the CSV in a spreadsheet program (Excel, Google Sheets).
    • Remove any rows without a valid email address.
    • Remove duplicates (or let your email provider skip them during import).
    • Save the cleaned list as a new CSV.

Import into your email provider

  1. Log in to your email provider.
  2. Create or select the audience/list you want to import into.
  3. Choose the option to Import contacts and upload the CSV file you exported from Bookedin.
  4. During the import process make sure to: 
    • Skip duplicates: most providers offer this option.
    • Skip unsubscribed/suppressed contacts: It's very important to not add emails if they've previously unsubscribed. If your provider asks whether to re-subscribe "suppressed addresses", choose No.
  5. Complete the import.

Build and send your email

  1. Create a new campaign in your email provider. 
  2. Use a clear subject line and include an unsubscribe link in the footer to comply with email laws.
  3. Send a test email to yourself and preview on mobile/desktop.
  4. Schedule or send your email blast.

After sending: best practices

  • Monitor unsubscribe and bounce reports: If you see any recipient with a "hard bounce", remove/unsubscribe that person from your list. A hard bounce is a permanent email delivery failure, meaning the email can never be delivered due an invalid or non-existent email address.
  • Next time around: Because this is a manual process, you’ll need to repeat the above steps any time you want to refresh your email list. This ensures any new clients added to your Bookedin account over time get imported into your email provider.
